This Privacy Notice sets out the information on what data we collect, how we collect and manage your data and your rights in line with the General Data Protection Regulations (GDPR) 2018.

What information do we collect?

  • Personal data such as name, date of birth, address, email address, telephone number when you make an enquiry or sign up to our services

  • Health data when you complete a Physical Activity Readiness Questionnaire (PAR-Q)

  • Records of your correspondence with us via our website, email, SMS, Facebook messenger, Instagram, or WhatsApp

  • Multimedia files such as photographs and video footage of your training in our facility, during classes or at events (your permission will be requested beforehand)

  • Information obtained from client surveys or feedback requests you have taken part in

  • Information from third party service providers

  • Information we collect via cookies and related technology

  • IP address, identification number, online identifier, browser information, location data and other similar identifying information required for your devices to communicate with websites and applications on the internet

 

How do we use your personal data?

Contract - your personal data is processed in order to fulfil a contractual arrangement e.g. in order to provide services to you and assessing your health, exercise and injury history so we can correctly plan training programmes

Consent - where you agree to us using your information in this way e.g. to share photographs and video footage on social media or our website and email marketing and communications. We will ask for consent at the point of collecting this data.

Legitimate interests- for us to manage our business to provide you with the best possible service e.g. to improve our service and client experience, following a recent enquiry or referral from someone you know, to determine the effectiveness of advertising and marketing campaigns.

 

Special Category Data

The personal data we collect about you when you complete a PAR-Q is classed as special category data as it is more sensitive. We process this data on the basis that it is necessary for the establishment, exercise or defence of legal claims or whenever courts are acting in their judicial capacity.

 

How may we share your information?

We will not share your data with any third party other than those we use to service our business or if legally obligated to do so.  External service providers may be used for processing payments, receipt and storage of information, email marketing, accounting and account management.

 

Security and Retention of Personal Data

We are committed to keeping your personal data secure, accurate and up to date and only kept for as long as is necessary for the purposes for which it is used. In order to prevent unauthorised access or disclosure, all our electronic devices and cloud storage that hold any information are password protected and any paper records are kept in securely locked storage.

 

Personal data that we collect from you may be transferred and stored on servers outside of the European Economic Area (EAA). Where this occurs, we ensure the service providers comply with the EU-US Privacy Shield Framework to safeguard your data. 

 

We will hold your personal data securely for as long as you remain a client with us and for up to 7 years afterwards. After this time, any data will be securely disposed of.

 

Your Rights

You have the right to ask us for a copy of all the information we hold about you, the right to have your information corrected if you believe it is inaccurate, the right to request deletion or removal of your personal data, the right to restrict the processing of your personal data and the right to object to the processing of your personal data.

 

If you wish to withdraw your consent for us to take and use photographs or videos of you or to stop receiving any marketing communications from us, you can do this at any time by contacting us directly or follow the unsubscribe link on an email.

When we take photographs and video footage in our facility or at events for our social media pages and our website, we will take great care to ensure no one appears in content created by us unless they have given us consent to do so. We also advise clients and visitors taking any photographs or videos to ensure that no one else appears in them without their consent. If you appear in any media in error and you would like it to be removed, please contact us immediately. 

 

Third Party

We will not be responsible for the privacy policies of any third party website or apps that you may use, even if linked from our website or through the delivery of our services. We recommend you check the privacy policy of each website or app before using it.

 

Complaints

If you have a complaint about how we process your personal data, you should contact us first and we will aim to resolve the issue. If you are not happy with the way we deal with your concerns you can contact the Information Commissioners Office (ICO) via their website at www.ico.org.uk.

 

Cookie Notice

We may store information about you using cookies (files which are sent by us to your computer or other devices) which we can access when you visit our site in future. We use these to improve your user experience.
